This page tells you what we do with personal data on this website: what we collect, why, on what legal basis, how long we keep it, and who else gets to see it. It also lists every cookie this site sets. It describes this site as it actually works — we checked, rather than copied a template.

In short
- This is a wholesale site for businesses. You apply for a trade account, and prices only appear once it is approved. We do not sell to consumers.
- Most of what we hold is business contact data. There is still a person behind it, so the GDPR applies in full.
- This site loads nothing from other companies. No analytics, no advertising pixels, no tracking scripts, no chat window, no newsletter, no external fonts. Every file comes from our own server.
- The only cookies we set are the ones needed to keep you logged in, keep your cart, and remember your language.
- One decision on this site is made automatically: if your VAT number checks out at the EU VIES service, your account is approved without a person looking at it. You can always ask for a person to look at it instead.
- While you are on the site we keep a short-lived record of the pages you look at and what is in your cart, so we can help you as a trade customer. It is deleted after seven days, it stores no IP address, and it places no extra cookie. You can object at any time.

We have not appointed a data protection officer. Privacy questions go to the address above and we handle them ourselves.
What we collect, why, and on what basis
Your trade account application
What: first name, last name, company name, email address, VAT number, the date you applied, the date we approved you, and how you reached us — which trade fair, or which of our people invited you.
Why: to establish that you are a genuine trader and to decide whether to open the account, and to know which fairs and which colleagues bring in customers.
Basis: Article 6(1)(b) GDPR — steps taken at your request before entering into a contract. For checking the VAT number, Article 6(1)(c) — we are required to establish the status of a business customer for VAT purposes. For recording how you reached us, Article 6(1)(f) — our legitimate interest in knowing where our customers come from.
Your account once it is open
What: the lots you save to your own list, and the dates of your last and previous visit.
Why: so your list is still there when you come back, so we can show you what is new since your last visit, and so we can see whether an account is still in use.
Basis: Article 6(1)(b) for the account and your list; Article 6(1)(f) for the visit dates — our legitimate interest in keeping accounts current and secure.
Orders, delivery and payment
What: name, company, billing address, delivery address, phone number, email address, VAT number, any note you add to the order, the order lines, and — recorded by the shop software with every order — the IP address and browser you ordered from. If you pay by bank transfer, your name and IBAN reach us through our bank statement.
Why: to accept the order, ship the goods, invoice you, take payment, and answer questions about it later. The IP address and browser are recorded to help us investigate fraud or a disputed order.
Basis: Article 6(1)(b) — performance of our contract with you. For the invoice and the bookkeeping around it, Article 6(1)(c) — Dutch tax law. For the IP address and browser, Article 6(1)(f) — our legitimate interest in being able to investigate a disputed or fraudulent order.
We email you about your account and your orders. That is part of the service, not marketing: we run no newsletter and send no mailings.
Messages, bids and lots you offer us
What: whatever you put in the contact form, in a bid on a lot, or in a lot you offer us — usually your name, company, email address, phone number and what you want to tell us.
Why: to answer you and to do business with you.
Basis: Article 6(1)(b) where it leads to a contract, and otherwise Article 6(1)(f) — our legitimate interest in answering someone who contacts us.
Who is on the site right now
We are a wholesaler with a small number of trade customers, and we run a live view of who is on the site. It shows, per visitor: the pages visited and how many, the last searches, the last products viewed, what is in the cart, the device and browser language, and the country. For a customer who is logged in it also shows the company name from their own account, because that is the whole point — so we can pick up the phone about the pallet you are looking at rather than guess.
What this deliberately does not do. It stores no IP address, anywhere. It places no extra cookie on your device: if you are logged in we recognise you by the login you already have, and if you have a cart we use the shopping session the shop needs anyway. For a visitor who is neither, we compute a fingerprint from the IP address, the browser signature and a secret that changes every day, and store only that fingerprint — so your pages hang together for one day and no longer, and the fingerprint cannot be turned back into an address. A visitor who is not logged in is therefore not followed from one day to the next.
The view is visible only to the people who run this shop, it is not shared with anyone, and nothing in it is used to make an automated decision about you. Everything in it is deleted after seven days. Basis: Article 6(1)(f) — our legitimate interest in serving trade customers on our own closed site. You can object to this at any time and we will exclude you; see Your rights below.
Server logs
Our hosting provider keeps standard web server logs: IP address, time, the page requested and the browser used. These exist to keep the site running and to investigate abuse. Basis: Article 6(1)(f) — our legitimate interest in a secure, working website.
One decision here is automatic
When you apply for a trade account and give a VAT number, we check that number against VIES, the VAT number database of the European Commission. If the number is valid, your account is approved automatically and you see prices straight away. No person looks at it first. If the number is missing, invalid, or already belongs to another account, the application goes to a person at our office instead.
We do this because a valid EU VAT number is, for our purposes, sufficient proof that you are a trading business — and because a buyer who applies on a Tuesday evening should not have to wait until Wednesday to see a price.
Under Article 22 GDPR you have the right not to be subject to a decision based solely on automated processing. So: you can always ask us to have a person look at your application, put your point of view to us, and contest the outcome. Write to info@landsmeerinternational.com and a person will review it.
Who else sees your data
We do not sell data and we do not share it for anyone else’s marketing. These are the parties that see it, and why:
- Our hosting provider (whserver.nl, the Netherlands) — runs the web server this site sits on and holds the database. Processor.
- Distriqo — our own order and stock system. Orders, messages, bids and offered lots go there, and it is where we run the business. The Distriqo software is ours; it runs on the infrastructure of Vercel Inc., a company based in the United States. Processor.
- Mollie (the Netherlands) — payment service provider, for orders paid online. You enter your payment details on Mollie’s own screens; we see the payment status and the name of the payer, not your card or login credentials.
- The carrier or forwarder that delivers your order — receives the delivery address, a contact name and a phone number, because a pallet cannot be delivered without them.
- VIES, the European Commission — receives the VAT number you enter, so it can be verified. Nothing else about you is sent.
- Our accountant and, where the law requires it, the Dutch tax authorities — receive invoices and the records around them.
- OpenStreetMap — the map on our contact page is served by OpenStreetMap, so opening that page tells them your IP address. OpenStreetMap is a foundation with no advertising business; it does not build a profile of you. No other page on this site contacts anyone outside our own server.
Outside the European Economic Area
Vercel Inc., which hosts our Distriqo system, is established in the United States. Where data is transferred there, that transfer takes place on the basis of the European Commission’s standard contractual clauses and, where applicable, the EU–US Data Privacy Framework. You can ask us for a copy of the safeguards in place by writing to the address above.
Apart from that, everything stays within the EEA: the web server, the database, the payment provider and the map are all European.
How long we keep it
- Invoices and the order records behind them: seven years. Dutch tax law requires it and we cannot delete them sooner.
- Your account and your saved list: for as long as you have an account with us. Ask us to close it and we remove it, apart from what we must keep for tax.
- An application we turned down: only for as long as we need it to explain the decision if you ask about it.
- Messages, bids and offered lots: for as long as the conversation is running, and afterwards for as long as we may need it for the trading relationship it belongs to.
- The live view of who is on the site: seven days, and it is cleaned out every hour. If we switch the view off, everything in it is erased at that moment.
- Server logs: for the short period our hosting provider keeps them for security and troubleshooting.

Cookies
A cookie is a small file that a website stores in your browser. This site sets only the cookies it needs to work. There is no cookie banner on this site, and there does not need to be one: we place no analytics, advertising or tracking cookies at all.

All of these are strictly necessary to provide the service you asked for, so under Article 11.7a of the Dutch Telecommunications Act we may place them without asking permission first. You can still delete or block them in your browser — the shop will then stop remembering your cart, your login and your language.
Your browser also stores one small technical value (wpEmojiSettingsSupports) that records whether it can display emoji. It is cleared when you close the browser and it says nothing about you.
Your rights
- Access — ask what data we hold about you and get a copy.
- Rectification — have wrong or incomplete data corrected.
- Erasure — have your data deleted, unless we are required to keep it (invoices, for instance).
- Restriction — ask us to pause the processing while a dispute about it is settled.
- Data portability — receive the data you gave us in a common file format, or have us send it to another company.
- Withdraw consent — where we rely on your consent, you can take it back at any time. That does not affect what we did before you withdrew it.
Your right to object
Where we process your data on the basis of our legitimate interest — the visit dates on your account, the record of how you reached us, the IP address stored with an order, the live view of who is on the site, and the server logs — you have the right to object to that processing at any time, on grounds relating to your particular situation. Tell us and we will stop, unless we have compelling legitimate grounds that override your interests. We will explain our reasoning either way.
How to use these rights
Write to info@landsmeerinternational.com or call +31 6 11 33 21 07. We may ask you to confirm who you are, so that we do not hand your data to someone else. We answer within one month. If your request is complex, we may take up to two months longer — we will tell you within the first month if that happens, and why.
If you are not happy with how we handle your data, we would rather hear it from you first. You also have the right to complain to the Dutch supervisory authority, the Autoriteit Persoonsgegevens.
Data that does not come from you
Sometimes we get your details from somewhere other than you: a colleague of ours enters the contact details from a card you handed over at a trade fair, or one of our people sends you an invitation to open an account. In those cases the data is your name, company, email address and how we met — and we use it for the same purposes and on the same basis as set out above. The first message you get from us always says where we got your details, and you can ask us to delete them.
When we check a VAT number, VIES tells us whether it is valid and, depending on the country, the registered name and address that belong to it. We store that outcome with your application.
Security
The site runs over an encrypted connection (HTTPS). Prices and stock are visible only to approved trade accounts. Access to the shop’s administration is limited to the people who need it. If a data breach occurs that is likely to be a risk to you, we will tell you and the Autoriteit Persoonsgegevens as the law requires.
Changes to this statement
If we add something to the site that handles personal data differently — a payment method, a chat window, a statistics package — we update this page first and change the date at the top. If the change is significant for you, we will say so.
